WhatsApp Business API provider
WhatsApp Business API Provider of Your Choice, Connected by Calsyst
A WhatsApp Business API provider is a Meta-approved company that connects a business number to the WhatsApp Business Platform, so software can send messages. Calsyst is not a provider; it plugs into yours and stores each connection as a named profile.
- Stay with the provider your team already uses
- Hold several profiles and switch between them
- Feed call follow-ups, campaigns and the WhatsApp CRM chat
What is a WhatsApp Business API provider?
A WhatsApp Business API provider is an approved middleman that links your number to Meta's messaging platform and hands you the keys for sending.
Calsyst is not a WhatsApp Business API provider but a call manager app that sits one layer above it: paste the details of each provider into a profile, and the app sends through whichever profile is switched on.
- Meta runs the platform; the provider gives access.
- Calsyst uses that access, it does not replace it.
- Profiles let one account talk through more than one provider.
WhatsApp business API provider benefits
What a team gets once its provider is plugged in.
No forced provider switch
Contracts, numbers and approved templates stay where they are; Calsyst only borrows the connection.
Named profiles
Label each provider connection, for example by branch or brand, and flip the active one in Settings.
Templates pulled in
Every template Meta approved shows up tagged by category and language, previews live, and asks for its blanks before it goes.
Texts leave in the background
Missed-call replies, status changes, sales and reminders can each send silently through the active profile.
Campaign results per person
A server campaign lists, person by person, whether the message was sent, delivered, read, answered or failed.
Replies beside the calls
Each reply shows up in the WhatsApp CRM chat with read times, unread markers and the customer's call history beside them.
WhatsApp Business API vs the WhatsApp Business app
The Business app lives on one handset. Someone reads each chat and presses send, which works for a shop with a single phone. The API has no screen of its own: software talks to WhatsApp through a provider, so messages can go out at 2 am or to a whole list at once.
Calsyst handles both worlds. With no profile saved, it opens WhatsApp with your words ready, and the bulk WhatsApp sender can work through a small list from your own handset. Once a provider profile exists, the same triggers send quietly in the background.
WhatsApp API provider and Calsyst: who does what
The provider carries the messages. Calsyst decides which message, to whom and when, then keeps the record next to the customer’s calls.
| Job | What the provider carries | What Calsyst adds |
|---|---|---|
| Template messages | Delivery of templates that Meta approved | Sync of category, language and live preview; blanks filled before sending |
| Texts after calls | The outgoing message | Different wording per call type, paused in quiet hours and spaced out per number |
| Campaigns | Bulk delivery to many numbers | Name and city placeholders, a test send and a result for each recipient |
| Team chat | Messages in and out | Read times, unread markers, call history beside each chat and chat-to-lead in one tap |
| More than one provider | A separate connection each | Named profiles and a switch for the active one |
The WhatsApp CRM page shows the chat side in more depth, and CRM with WhatsApp integration covers how chats and leads link up.
Choosing a WhatsApp Business API provider: questions to ask
Choose a WhatsApp Business API provider by checking five things: Meta approval, template help, billing, access to your API details and support hours. Calsyst works with any provider, so ask these before signing.
- Is the company an approved Meta business solution provider, or are you going direct through Meta’s cloud?
- Will they help you get message templates approved, and how fast do approvals usually come back?
- How is billing worked out? Meta charges per message category, and providers add their own fee. Our page on WhatsApp Business API pricing explains the model.
- Can you copy your API details out of their dashboard, so another tool such as Calsyst can send through it?
- What support hours and time zone does their help desk keep?
WhatsApp Business API provider limits inside Calsyst
Some jobs stay with the provider or with Meta. Calsyst cannot do these for you.
- It does not register or verify your WhatsApp number.
- It does not apply for an official business badge.
- Template approval happens at Meta, through your provider.
- Message rates come from Meta and your provider, not from Calsyst.
- Sending large lists from a personal handset, with no API, risks the number being restricted by WhatsApp.
WhatsApp Business API provider in use: one garage, two numbers
A car service garage in Gqeberha already pays a provider for its head office number. It opens a second branch in Walmer with a new number from another provider.
The owner saves both as profiles in Calsyst, named “Head office” and “Walmer branch”. Head office stays active for after-call texts, so a customer who rang about a booking gets a call-type text a minute later.
On Fridays the manager switches to the Walmer profile for a campaign of 400 service reminders, then switches back to Head office, because after-call texts use the active profile. The report shows who read the message and who replied, and every reply lands in the WhatsApp CRM chat next to that customer’s calls.
WhatsApp business API provider FAQ
Can I keep my current WhatsApp Business API provider when I add a CRM?
Yes, with Calsyst you keep it. Add the provider's details as a profile and the app sends after-call texts, campaigns and chat replies through that same connection.
Is Calsyst a WhatsApp Business API provider?
No. Calsyst is a call manager app that connects to the provider you choose, then uses that link for automatic texts, bulk sends and the WhatsApp CRM chat.
Who is the official provider of the WhatsApp Business API?
Meta owns and runs the WhatsApp Business Platform. Businesses reach it either directly through Meta's own cloud offering or through an approved business solution provider.
How do I get access to the WhatsApp Business API?
Sign up with Meta or an approved provider, verify the business and register the number you want to send from. Then paste the resulting details into a Calsyst profile.
Can one Calsyst account use two different providers?
Yes. Store each provider as its own named profile and choose which one is active. A second branch or brand can run on a separate profile.
How can a business message 10,000 customers on WhatsApp?
Use an API campaign through your provider rather than your phone. Calsyst splits the list, fills each person's name and city, and reports the result for every recipient.
Can Calsyst send WhatsApp messages without any API at all?
Yes. Without a profile, Calsyst opens WhatsApp with the message already typed, and small bulk sends go out one by one from your own handset.
What data goes to my provider when Calsyst sends a message?
The message text and the recipient's number, plus any attachment you add, as the privacy policy describes. Call logs, notes and lead statuses stay inside your Calsyst account.
Is the WhatsApp Business API the same as the WhatsApp Business app?
No. The app runs on one handset and someone taps send. The API lets software send and receive through a provider, which is what background texts and campaigns need.
What happens to WhatsApp chats when a seller leaves?
They stay in the business account. The conversation history remains in the WhatsApp CRM chat for whoever takes over the customer.
Can a WhatsApp message go out by itself straight after a call?
Yes. Each trigger has a send mode; set it to the API and the missed, incoming or outgoing call text leaves through the active profile without anyone opening WhatsApp.
